This section manages customer feedback shown on the website.

Where reviews come from

Reviews can enter the system in more than one way:

  • an admin can create a review manually from Add Review
  • a customer can submit a review from the exchange order page after a confirmed exchange
  • a logged-in customer can also submit a review from the customer review page when they still have a confirmed exchange without a review

There is no separate Review Settings page.

Review behavior is controlled from these settings pages:

What you can do

  • review all submitted reviews
  • create a review manually
  • change review status
  • connect a review to a customer
  • control what is visible on the website

Overview Dashboard

The Overview Dashboard helps you understand review quality before you open the full list.

It shows cards and sections such as:

  • Total Reviews: all reviews in the system
  • Approval Rate: how many reviews are currently approved
  • Average Rating: average score out of 5
  • Last 24 Hours: newly submitted reviews
  • Coverage Mix: customer-linked reviews, visitor reviews, exchange-linked reviews, and pending reviews
  • Rating Distribution: how many 5-star, 4-star, 3-star, 2-star, and 1-star reviews you have
  • Latest Reviews: a quick table of the most recent feedback

Use this page when:

  • you want to see whether review quality is improving
  • you want to find pending reviews quickly
  • you want to check whether most reviews are linked to real exchanges

Review List page

The list page is the main moderation page.

It shows columns such as:

  • Customer
  • Exchange
  • Rating
  • Review
  • Date
  • Status
  • Action

What the columns mean

  • Customer: the linked customer name, or a visitor-style review if no customer is attached
  • Exchange: the order reference if the review came from a real exchange
  • Rating: star value from 1 to 5
  • Review: the feedback text
  • Date: review creation date
  • Status: whether the review is approved and public
  • Action: edit or delete options

Important list note

Manual admin reviews do not have an Exchange field on the admin form.

Because of that:

  • manually created reviews may show an empty exchange column
  • exchange-linked reviews normally come from real customer review submissions

Add Review and Update Review

The admin form is simple, but each field matters.

Field guide

Customer field

The Customer field uses search.

Use it like this:

  1. Click the field
  2. Search the customer name
  3. Select the correct customer from the result

If you do not select a customer:

  • the review is saved like a visitor review
  • the admin page will not show a linked customer profile for that review

On the update page, you can also keep the current customer or switch the review to Visitor.

Important form note

There is no Exchange field in the admin review form.

That means:

  • you can create a review manually
  • you can link it to a customer
  • you cannot attach it to a specific exchange from this page

If you want a review to be tied to a real order, the customer should submit it through the normal review flow after the exchange.

What the review settings change

The most important review controls are not inside Admin -> Reviews.

They are inside settings pages.

From Admin -> Settings -> General Settings

  • Reviews Per Page: controls how many reviews are shown on the public reviews page
  • Manually Reviews Approve: if enabled, customer-submitted reviews stay pending until an admin approves them
  • Review Maximum Length: controls the maximum review text length on both admin and customer review forms

From Admin -> Settings -> ReCaptcha Settings

  • Review ReCaptcha: adds captcha protection to customer review forms

Important behavior note

  • Manually Reviews Approve mainly affects customer-submitted reviews
  • admin-created reviews follow the Status you choose on the admin form
  • Review ReCaptcha affects customer review submission, not admin review creation

How customer review submission works

In normal use, reviews are usually created by real customers after a completed order.

The public review flow works like this:

  1. The customer completes a confirmed exchange
  2. The customer opens the order page or customer review page
  3. The customer selects a rating
  4. The customer enters a name
  5. The customer writes the review text
  6. If Review ReCaptcha is enabled, the customer completes captcha
  7. The system accepts only one review for one exchange
  8. The review enters Admin -> Reviews

If manual review approval is enabled, the review stays hidden until an admin approves it.

Public review form details

The customer-facing review form includes these main fields:

Common mistakes

  • expecting Add Review to link a review with an exchange when there is no exchange field on the admin form
  • leaving the Customer field empty by mistake and saving the review as a visitor review
  • approving weak, copied, or unclear reviews too quickly
  • setting Review Maximum Length too low and then wondering why longer feedback does not save
  • expecting a customer review to appear on the website immediately while Manually Reviews Approve is enabled
  • enabling Review ReCaptcha without testing the review form
  • trying to submit a second review for the same exchange

If admin save fails

Check these points first:

  • Rating is selected
  • Status is selected
  • Review is not empty
  • Review does not exceed the maximum length
  • if you selected a customer, you picked a valid customer from the search result

If customer review submission fails

Check these points first:

  • the exchange belongs to the logged-in customer
  • the exchange is already confirmed
  • no review already exists for that exchange
  • Your Name is filled and stays under 120 characters
  • Rating is between 1 and 5
  • Your Review stays under the maximum length
  • captcha is completed if Review ReCaptcha is enabled

Best practice

  • keep Manually Reviews Approve enabled when launching a new website
  • publish only real, clear, and readable reviews
  • use customer-linked reviews when possible
  • review the public review form after changing captcha settings
  • use Advertisements and Partner if you want extra content on the public review page
  • disable poor-quality reviews instead of deleting them immediately when you may need to check them again later
